Return, Payment & Subscription Policy

Updated Subscription, Payment, and Return Policy (as of July 1, 2026)
 

As a nonprofit organization, Valley Stars Academy is committed to providing high-quality, affordable youth basketball and volleyball programming to families throughout the San Fernando Valley. Membership dues directly support essential operating costs, including gym rentals, insurance, staffing, and game scheduling. To protect the sustainability of our programs and ensure fairness across all member families, the following policy applies to all memberships, payments, and refund requests.

Refund Policy

All monthly membership payments are final. Once a billing cycle starts, we cannot offer refunds, credits, or makeup days for that month, including in cases such as:

  • Family vacation or travel

  • Missed practices or games

  • Scheduling conflicts or inability to attend, etc. 

This policy allows us to reliably plan staffing, facility rental, and team logistics in advance, ensuring consistent programming for all families enrolled in Valley Stars.

Practice Schedule & Calendar Variance

Monthly membership dues reflect a consistent program fee, not a per-practice rate. Because practices are held on a recurring weekly basis, the number of practice days in any given month will naturally vary based on the calendar (e.g., for a volleyball 1x/week membership this typically ranges from 4 - 5 sessions per month). Occasional practices may be cancelled due to holidays, gym availability, or other scheduling conflicts.


For example, if a practice is cancelled in observance of the holiday weekend, but that month still includes the typical amount of practices, this aligns with the usual monthly average. Since this variance is anticipated and balances out over the course of the season, cancelled or reduced practice days within a given month do not warrant a discount, credit, or refund.

 

Exception: If 50% or more of a month’s scheduled practices are not held or are cancelled, that month may be eligible for a pro-rated membership fee. This circumstance is rare and will be reviewed by Valley Stars on a case-by-case basis as it arises.

Pro-Rated Memberships For New Members

New members joining mid-month are eligible for a one-time, pro-rated membership fee based on their enrollment date. Pro-rated pricing is available only at the time of initial enrollment and does not apply to existing memberships, renewals, or future billing cycles.

Subscription Policy

By registering your player, you are opting into our automatic monthly subscription model.

This means:

  • Your payment method on file will be automatically charged on the 1st of each month, unless you cancel or modify your membership with the required advance notice. Please note that your card provider may apply additional surcharges.

  • Your active subscription reserves your player’s spot in the program, including team placement, practice access, and tournament participation (where applicable).

  • You are responsible for keeping your payment method current and ensuring sufficient funds are available at the time of billing.

  • Any changes, cancellations, or holds to your membership must be submitted at least 2 weeks in advance. Requests must be submitted to info@myvalleystars.com

  • If a payment is declined, an $18 daily service fee will apply for each day the balance remains unpaid, to help offset the administrative costs of managing late or missed payments.

Non-Payment & Suspension of Access

Membership includes access to practices, games, and tournament participation, and is contingent on your account remaining current.
If a payment is declined and remains unresolved, the following timeline applies:

 

Day 1 – Payment Declined:  The $18 daily service fee begins accruing, and an automated notice is sent to the email and/or phone number on file.
7 Days Past Due:  A staff member or Coach Kiki will reach out directly (by email, text, or phone) to confirm the outstanding balance and provide instructions to bring the account current.
14 Days Past Due:  A second written notice will be sent, stating the total balance owed and a specific date by which payment must be received to avoid suspension of participation.

21 Days Past Due – Suspension:  If payment has not been received, the player’s account will be moved to inactive/suspended status. Suspended players may not participate in practices, games, or tournaments until the account is brought current in full. Coaches are not authorized to make exceptions to this policy.

30 Days Past Due – Final Notice:  A formal written notice will be issued, stating the total balance owed and confirming the player’s suspended status. Families will be given a final deadline of 7–10 days to either pay the balance in full or arrange a payment plan with Valley Stars staff.
45 Days Past Due – Forfeiture:  If the account remains unpaid, the player’s roster spot will be forfeited and the player will be removed from their team. Outstanding balances remain due in full regardless of suspension or removal. 


Direct all payment plan requests, disputes, or questions regarding an outstanding balance to info@myvalleystars.com or Coach Kiki. Payment matters should not be discussed or negotiated informally at practices or games.
